Job Posting: Payroll Specialist

Choices for Youth Inc. (CFY) is a professional service, a youth-focused, non-profit, charitable organization that creates spaces and conversations and operates programs and social enterprises to help vulnerable youth secure stable housing, employment, and education while improving health and family stability. With a focus on prevention, intervention, and support, we help youth, and their families break cycles of poverty and homelessness and transition to healthy, stable, and independent lives.


We are seeking a proactive and detail-oriented Payroll Specialist to oversee our payroll processes and ensure employees are compensated accurately and on time. This role is critical to maintaining compliance with all payroll regulations and supporting the organization’s operational integrity. Your experience with payroll systems, T4 filings, and ROE preparation will help uphold our commitment to excellence and accountability.


Reporting to Senior Director of Finance, Business Operations and EESE, the Payroll Specialist will be responsible for managing end-to-end payroll processing, ensuring adherence to applicable legislation, and maintaining accurate payroll records. Additional responsibilities include preparing and submitting required documentation, such as T4s and ROEs, responding to payroll-related inquiries, and supporting audits or compliance reviews. This position plays an essential role in fostering employee confidence and contributing to the organization's operational efficiency.


DUTIES AND RESPONSIBILITIES


  • Process payroll accurately and on time for all employees, including regular pay, bonuses, and deductions.

  • Assembling reports of company earnings, taxes, deductions, leave, disability payments, and non-taxable wages.

  • Ensuring databases are set up and reflect the current employee base, including salaries, hourly wages, benefits, and pension percentages.

  • Complete EI, CPP and other remittances for each payroll.

  • Accurately prepare and issue T4s, ROEs, and other required documentation in compliance with federal and provincial regulations.

  • Stay up to date with payroll legislation to ensure compliance with tax laws, employment standards, and reporting requirements.

  • Maintain and update employee payroll records, ensuring accurate tax forms, benefits, and direct deposit details.

  • Address payroll discrepancies, respond to employee inquiries, and resolve issues efficiently.

  • Generate and analyze payroll reports for internal use and government submissions.

  • Monitoring and analyzing expenses against the payroll budget to help prepare cost forecasts and budgets

  • Work closely with HR and Finance teams to ensure seamless payroll processes and accurate data.

  • Working with cross-functional stakeholders to ensure benefits and payroll services are delivered

  • Utilize payroll systems to manage payroll operations efficiently.


QUALIFICATIONS AND SKILLS


  • Proven experience in payroll processing, including T4s and ROEs.

  • Excellent computer skills, experience with Simply Accounting (Sage 50) and Microsoft Office

  • Knowledge of the complete payroll cycle

  • Strong knowledge of payroll regulations, employment standards, and tax compliance.

  • Exceptional attention to detail and organizational skills.

  • Ability to work in a face-paced complex environment.

  • Ability to handle sensitive information with confidentiality and discretion.

  • Experience working in a unionized environment

  • Certification in payroll administration (e.g., PCP or CPM from the Canadian Payroll Association) or working towards is an asset.

  • Satisfactory Criminal Record Screening and Vulnerable Sector Check that is bondable.


WORK HOURS


Regular hours of work for this position are 9:00 am to 5:00 pm Monday to Friday (35 hours per week). Flexibility in work hours will be required from time to time to accommodate higher work volumes and organizational requirements, including the occasional and emergent need to work evenings and weekends.


This role also offers the opportunity for hybrid work, allowing for a combination of working from home and onsite as per organizational policies and operational needs.


COMPENSATION


The salary for this position will be $58,331.00 to $61,861.80 per year annually. CFY offers a competitive compensation package to qualifying employees, including but not limited to a health and dental program, employer matched RRSP, twenty days’ vacation days and eighteen sick days.
